Department

The Talent Acquisition department with the Division of Human Resources and Inclusive Excellence is responsible for managing the recruitment and hiring process across campus for staff and management positions. Our primary goal is to attract, recruit, and retain talent while also ensuring candidates align with the university’s mission, values, and commitment to inclusion. We seek an exceptional individual to join our team as the Talent Acquisition Coordinator (Administrative Support Coordinator I). Duties and Responsibilities

Under the general direction of the Talent Acquisition Managers, the Talent Acquisition Coordinator provides administrative and operational support with a primary focus on onboarding processes and recruitment documentation. Coordinates new hire onboarding sign-in processes, ensuring all required documentation is completed accurately, timely, and in compliance with CSU policies and procedures. The coordinator supports pre-onboarding activities and New Employee Orientation, including facilitating weekly onboarding sessions with new hires. Responsibilities include preparing onboarding materials, tracking attendance, coordinating session logistics, and serving as a primary point of contact for new hires. Ensures all onboarding records are properly collected, reviewed, and maintained in accordance with established recordkeeping requirements.

The Talent Acquisition Coordinator is responsible for the creation, maintenance, auditing, and archiving of recruitment documentation and personnel files, ensuring completeness, accuracy, and compliance with applicable guidelines. Maintains organized electronic and physical records related to recruitment activities. Provides administrative support to the Talent Acquisition team, including assisting with recruitment processes, maintaining job posting records, and preparing reports and correspondence as needed. Delivers timely, accurate, and professional customer service to applicants, new hires, and campus partners via email, phone, and in person.

Coordinates travel arrangements for the Employment Services team and supports budget-related activities for Employment Services, including tracking, processing, and reconciliation of expenses in accordance with university policies. Reconciles procurement card (P-card) and travel expenses in Concur in accordance with university policies. Serves as the department information technology coordinator (DITC) and is responsible for the ordering, tracking, and inventory of office supplies and equipment. Other duties as assigned.

Essential Qualifications

High School diploma or the equivalent and two years of experience in general office, clerical or administrative support work or the equivalent. Training at a vocational school or full-time college education may be substituted for the required experience on a year for year basis. Thorough, detailed knowledge of applicable university infrastructure, policies, and procedures. Thorough knowledge of English grammar, punctuation, and spelling. Thorough knowledge of office systems with the ability to use a range of technology, systems, and software packages. Ability to independently handle multiple work unit priorities and projects. Ability to apply a variety of policies and procedures where specific guidelines may not exist. Working knowledge of budget policies and procedures. Ability to perform standard business math including calculating ratios and percentages, tracking financial data, and making simple projections. Ability to draft and compose correspondence and standard reports. Ability to handle effectively a broad range of interpersonal contacts including those at a higher level and those sensitive in nature.

A background check (including a criminal records check) must be completed satisfactorily and is required for employment. CSU will make a conditional offer of employment, which may be rescinded if the background check reveals disqualifying information, and/or it is discovered that the candidate knowingly withheld or falsified information. Failure to complete the background check satisfactorily may affect the continued employment of a current CSU employee who was conditionally offered the position.  

Preferred Qualifications

Experience working in Human Resources, higher education, and/or a payroll environment. Demonstrated experience performing front office or customer-facing administrative functions. Proficiency in standard office software applications, including Microsoft Word, Excel, Access, and Outlook.

License/Certifications

A valid California driver’s license and reliable source of transportation for occasional off campus events.
