Position Summary
Under the general direction of the Circulation Services and the Interlibrary Services (ILS) Leads, the Resource Sharing and Course Materials Specialist supports student success by developing, maintaining, and promoting innovative approaches to facilitating student access to course materials that are available through the library, and materials obtained through interlibrary loan partners.
In addition to exploring and promoting Affordable Learning Solutions’ (AL$) goals and initiatives, the Specialist supports all aspects of the Library’s Course Reserves services, including communicating with teaching faculty and library faculty and staff colleagues about course materials to be placed on reserve and overseeing the processing of reserve materials.
The Specialist supports resource sharing activities of the Interlibrary Services unit, including handling borrowing and lending requests for library materials from patrons and borrowing institutions, troubleshooting problem requests, ensuring copyright compliance, and processing and preparing materials for delivery.
The Specialist maintains a thorough knowledge of Ex Libris’ Alma course reserves and Rapido modules and RapidILL. In the evening when the Circulation Services and Interlibrary Services Leads are not available, and/or the Specialist is the only staff member in the Access Services unit who is onsite, provides lead work direction to student assistants working at the library’s main service desk, Interlibrary Services, the Library Retrieval System, or shelving areas. In this capacity, provides excellent customer service, checks out materials, and answers a wide range of questions about the library’s resources and services.
Position Information
Resource Sharing
- Processes borrowing, lending, and document delivery requests (including renewals) for library materials from patrons and borrowing institutions through Ex-Libris Alma/Rapido, and Rapid ILL.
- Takes a lead role on all lending tasks.
- Coordinates and reports issues with the Unity Courier Service for the shipping and delivery of ILL materials
- Performs complex searches using Library subscription databases, OCLC, and other external online resources to verify, edit, and correct citations in order to facilitate efficient fulfillment and turnaround of Library and patron requests.
- Develops and maintains expertise in software/databases utilized in interlibrary services.
- Maintains accurate records of ILL borrowing and lending transactions.
- Selects the best document supplier for borrowing requests based on cost and turnaround criteria.
- Receives, verifies, reviews, and processes incoming invoices for borrowed materials, lost/damaged ILL materials, and article copying fees.
- Verifies compliance with copyright as well as licensing agreements for article copies requested from electronic journal holdings.
- Serves as a backup for unit student assistants when necessary, including: ○ paging, scanning, and delivering articles electronically for lending and document delivery. ○ paging, processing, and shipping lending material via mail, UPS, and courier services. ○ receiving, checking-in, and performing hold shelf placement of Interlibrary borrowing materials.
Library Course Materials Management, and Promotion
- Leads the Library’s efforts to explore, develop, implement, promote, and assess programs and strategies to connect students with library-owned course materials.
- Manages and processes all physical and electronic materials that are put on the library’s Course Reserves system to facilitate student access to course materials.
- Generates the list of required course materials based on the upcoming semester's or session's class schedule using Campus Solutions and coordinates the process of facilitating discovery and access to equivalent electronic and/or physical copies that the library owns.
- Explores connections with other SF State and CSU entities working on AL$ initiatives and promotes the library’s contributions to these efforts.
- Develops, documents, and maintains Course Reserves related workflows, procedures, and policies and shares them with relevant stakeholders.
- Prepares statistical reports related to Course Reserves materials.
- Keeps up to date with copyright as it pertains to Course Reserves and Affordable Learning initiatives.
- Coordinates and collaborates with faculty to expand the range of course-related materials (beyond books) that are available through Course Reserves.
- Trains student assistants on Course Reserves procedures, and provides related cross-training for Access Services staff as needed.
- Upon request from faculty and/or librarians and in accordance with established guidelines, uses a Procurement Card to purchase physical and electronic course materials and other faculty requests for books that cannot be purchased in a timely manner through our main book vendor.
Customer Service and Student Lead Work Direction
- Provides excellent customer service in person at the Book Checkout & Pickup Desk, on the phone, email, and otherwise
- During the evening and at other times when the only staff member in the unit, oversees the overall operations of the Access Services unit, including providing lead work direction to student assistants overseeing the Book Checkout & Pickup Desk, Library Retrieval System and Interlibrary Services, and reports occurrences where appropriate.
- Provides lead work direction to student assistants as they process, maintain, and shelve Course Reserve materials.
- When the ILS Lead is not available, provides lead work direction to student assistants performing basic resource sharing tasks.
- Provides timely responses to inquiries regarding the status of borrowing and lending requests, course reserves requests, and library materials, resources, services, and spaces, and how to utilize them
- Communicates effectively with teaching faculty, students, and library employees regarding Course Reserves.
- Provides back-up in overseeing the Circulation and Interlibrary Services email accounts.
- Researches and assists in trouble-shooting ILL technology software problems with Interlibrary Services Lead, Academic Technology staff, and software vendors.
- Troubleshoots resource sharing problem requests by identifying request errors and communicating with lending institutions.
- Identifies and researches problems, makes recommendations for their resolution, and suggests ways to improve existing policies, procedures, and the user experience.
- Assists in emergency related situations and drills, including evacuations.

Minimum Qualifications
- General understanding of a library’s organization structure and key functional operations.
- Basic knowledge of library terminology and bibliographic forms and structures.
- General understanding of library automated systems and the ability to quickly learn and use campus library systems, as well as related on-line catalogs and systems.
- Ability to quickly learn and apply policies and procedures related to the assigned functional work area.
- Ability to use standard features of office support technology and standard software packages.
- Demonstrated proficiency in English grammar, punctuation and spelling, including the ability to clearly communicate verbally and in writing.
- Ability to perform standard arithmetic operations.
- Ability to work under minimal supervision to perform assigned work.
- Ability to work within a diverse environment and be service-oriented in working with patrons and other library staff, including the ability to establish and maintain effective working relationships within and outside the library.
Preferred Qualifications
Thorough knowledge of interlibrary services activities, policies, and procedures, including experience working with industry-standard resource sharing management software.
- Experience working in Course Reserves, circulation, or a related area of library operations.
- Working knowledge of library collection and its organization, as well as classification schemes.
- Thorough knowledge of online databases, systems, and resources, including the ability to perform complex searches.
- Thorough knowledge of the institution’s and the library’s policies and practices associated with the ethical use of and access to library and online resources.
- Demonstrated expertise in using library and interlibrary services-related systems and platforms, such as Ex Libris’ Alma and ILLiad, including the ability to interpret, modify, and verify library records.
- Ability to investigate and research more complex problems, including analyzing and interpreting information.
- Strong written and oral communication skills
- Experience providing lead work direction to student assistants, including assisting in their selection and training as well as assigning and reviewing work.
- Experience engaging in outreach activities in a library or other educational institution.
- Strong organizational skills to oversee the coordination of lending workflows.
Environmental/Physical/Special
The position typically requires working five to six hours a day at a computer. Ability to lift, transport, sort, and shelve heavy library materials, book bins, bags, and book trucks
