Assistant Athletic Director for Finance (SJSU ONLY)

Job Summary

*This position is open to current SJSU employees only.*  

Under the direct supervision of the Deputy Athletics Director for Internal Operations, the Assistant Athletics Director for Finance supports the finance entities of the department and provides management direction to the business office. The major finance duties  include approving all departmental expenditures, travel and reimbursements; managing workload to assigned staff; ensuring day-to day transactions are being processed quickly and accurately through the CSU system and Tower Foundation; Projections; Quarterly reports to campus finance; Monthly reports to budget supervisors; Ad hoc reports; Forecasting; assist  with completing the Equity in Athletics Disclosure Act (EADA) report for the U.S. Department of Education and the Revenue  and Expense Distribution reports for the National Collegiate Athletic Association (NCAA).

 

Key Responsibilities

  • Monitor and review revenue and expenditures for the Department of Intercollegiate Athletics.
  • Project annual team travel budgets, review actual monthly expenses against projections and update projections. Ensure designated teams/departments comply with established campus, CSU, and NCAA policies and procedures for competition, training and recruiting related travel requirements.
  • Work with the Deputy AD for Internal Operations to prepare cost/benefit analysis, reports, and allocation proposals.
  • Work with the Deputy AD for Internal Operations, SJSU FABS Management and Business Analysts, and Tower Foundation financial staff on reporting, budget, and adjustments.
  • Monitor the annual resource allocation process for operating funds.
  • Create query reports for quarterly projection reporting. 
  •  Create and maintain position listing for Division.
  • Process HR expense adjustments. 
  • Develop annual, quarterly, and monthly revenue and expense reports. Review and approve purchases, reimbursements, and travel requests.
  • Determine salary chartfields to balance funding sources.
  • Process Position Management Action forms. 
  • Develop donor reports for sport-specific fundraising accounts out of the Tower Foundation.
  • Coordinate and monitor audit information with an annual external audit company.
  • Assist with calculating financials, department information, and complete reports for the U.S.  Department of Education Equity in Athletics Disclosure Act (EADA), NCAA Revenue Distribution report from the annual external audited report.
  • Create specialized budget reports as needed.
  • Manage cell phone stipend reimbursement process.
  • Coordinate sports competition contracts above 10k for all sports. Upload data into FTS system.
  • Direct and train business department staff including student assistants.

  • Thorough knowledge of financial record-keeping methods, procedures, and practices; arithmetic and general office procedures
  • Ability to apply accounting procedures and practices to analyze complex accounting problems; Working knowledge of operational and fiscal analysis and techniques
  • Ability to analyze and interpret accounting data; prepare clear, accurate financial statements and reports
  • In-depth knowledge of project management, including research and analytical methodologies
  • Facilitate Oracle-based reporting systems, ability to manipulate and organize data
  • Be a critical thinker who can think on their feet and make quick but sound decisions.
  • Demonstrated ability to effectively interpret, organize, and present information and ideas in written or presentation form
  • Ability to train others on software, skills, and procedures and provide work lead direction
  • Skills in research, development, and evaluation of policies and programs, including skills in collecting, evaluating, and interpreting data to develop sound conclusions and make appropriate recommendations
  • Working Knowledge of operational and fiscal analysis and techniques
  • Ability to quickly learn CSU financial software and apply it to the department uses
  • Ability to train others on new skills and procedures and provide work lead direction
  • Ability to handle issues and escalations in a timely and effective manner
  • Ability To write policy documents, communicate to end-users, and enforce across the Department

 

Required Qualifications

  • A bachelor's degree and/or equivalent training
  • Six years of high-level administrative work experience involving study, analysis, budget development & management, and evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs—extensive experience using FTS software

 

Preferred Qualifications

  • CSU experience with data warehouse reporting and analysis Knowledge of NCAA rules and regulations
  • Two years of experience working with the FTS software
  • Two years of relevant experience working in the Division I athletic department

Compensation

Classification: Administrator II
Anticipated Hiring Range: $9,345/month
CSU Salary Range: $5,053/month - $16,221/month

The final hiring salary will be commensurate with experience.
