
Job Summary
Under the supervision of the Director of Resources and Operations and with work lead direction from the Chair of Biological Sciences, the Clinical Laboratory Scientist (CLS)/Clinical Genetic Molecular Biologist Scientist (CGMBS) Administrative Operations and Program Analyst supports the Clinical Laboratory Scientist and Clinical Genetic Molecular Biologist Scientist Training Programs. This role is critical to the effective daily management of all administrative functions within the programs.
Key Responsibilities
- Oversee daily administrative operations of the CLS and CGMBS Training Programs
- Ensure compliance with applicable regulations and accreditation standards
- Serve as the primary liaison with internal and external stakeholders, coordinating communication and program activities
- Contribute to program development, implementation, and continuous evaluation
- Collaborate with the Director to develop the department’s annual budget, including personnel and facility planning
- Provide strategic recommendations on program priorities to the Department and College leadership
- Supervise and support program staff to ensure high performance and operational efficiency
Knowledge, Skills & Abilities
- Strong organizational skills
- Strong knowledge of form and document development
- Strong knowledge of Microsoft Word, Adobe Acrobat and DocuSign
- Ability to learn and become proficient in PeopleSoft, OnBase, FTS, and other SJSU/CSU systems
- Strong oral and written communication skills
- Ability to monitor a budget, reconcile financial records, analyze data and make projections as needed
- Expertise in investigating and analyzing problems with a broad administrative impact and implications
- Ability to anticipate problems and address them proactively
- Ability to troubleshoot most office administration problems and respond to all inquiries and requests related to work area
- Ability to work independently and as part of a team, handle multiple work unit priorities and projects, and perform accurately in a detail-oriented environment
- Ability to maintain confidentiality and appropriately handle sensitive communications with students, campus offices, and external agencies
- Must possess excellent customer service and public relations skills
- Working knowledge of and ability to apply standard theories, principles, practices, and techniques applicable to the program and/or administrative specialty to develop conclusions and make recommendations
Required Qualifications
- A bachelor's degree and/or equivalent training
- Two (2) years of administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs
Preferred Qualifications
- Two years of progressively responsible administrative and office support/front desk customer service experience
- Familiarity with PeopleSoft or similar databases and standard office software applications (MS Office, Adobe Suite)
- Prior experience in a CLS or healthcare training environment
Compensation
Classification: Administrative Analyst/ Specialist – Exempt I
Anticipated Hiring Range: $6,250/month - $6,584/month
CSU Salary Range: $4,598/month - $8,318/month
