Job Summary

Reporting to the Director of Resources and Operations (DRO) in the Lucas College and Graduate School of Business, the Administrative Analyst independently provides a broad range of administrative, technical and analytical duties of moderate to high complexity. The Analyst will also work at the direction of the Associate Dean of Undergraduate & Graduate Programs on college level assigned tasks.

Working with the Director of SJSU Online, this position has responsibility for the day-to-day operations of the LCoB SJSU Online program. The LCoB SJSU Online Program Analyst is responsible for the appointment of program faculty; administrative tasks associated with faculty recruitment and evaluation; manages and tracks the program budget; inputs the class schedules; tracks enrollment; collaborates with all LCoB Staff as needed to plan program events; handles confidential information for faculty and students; distributes information to students, faculty and the general public. They serve as a liaison for the LCoB SJSU Online Program to other campus entities: Office of Academic Innovation and Online Initiatives; College of Professional and Global Education (CPGE); University Personnel; Faculty Services; Registrar's Office; Financial Aid; and San Jose State Research Foundation and Tower Foundation.

The incumbent is also responsible for administrating the paperwork for the School of Global Innovation & Leadership budget, financial, personnel hiring and workload tracking, academic course building and scheduling, and special and general activities of the department. This position manages the day-to-day operation of the department including training, coordinating and overseeing any staff and student assistants, as applicable.

 

Key Responsibilities

  • Develop and coordinate the academic year, summer and winter course schedules in collaboration with the School Director implementing University Academic Scheduling Department procedures. Work with the Associate Dean of Undergraduate & Graduate Programs, Chairs/Directors, and Analyst(s) for graduate program course scheduling. Perform all edits during Academic Scheduling Department led scheduling rounds prior to start of term and also throughout the term.
  • Coordinate SJSU Online term, multi-session course schedules in collaboration with Academic Innovation and Institutional Effectiveness unit. Guide LCoB SJSU Online Program Director on campus processes.
  • All reporting related to SJSU Online Program enrollment and faculty pay.
  • Guide SGI&L Undergraduate Committee through all curriculum minor and major revisions meeting Undergraduate Studies Department guidelines and deadlines.
  • Track student progress in basic undergraduate program certificates and submit paperwork for award of these undergraduate certificates when students have completed required certificate coursework.
  • Maintain, run and create numerous reports. Run SJSU Labor Distribution reports on a monthly basis in SJSU@Work. (‘Labor Cost Distribution (LCD) Setup Audit’ and ‘LCD Monthly Paycheck Report’). Run other reports such as Enrollment, WTU tracking, Unaccommodated Demand, Entitlement and Assigned Time, as needed.
  • Responsible for overseeing the office and its working efficiency during business hours. Involves constant process improvement of procedures to better serve our students and faculty.
  • Process all Student Assistant, Course Student Assistant, and Instructional Student Assistant, hiring, onboarding and tracking for SGI&L. If needed, also appoint any Graduate Assistants upon direction from the LCoB Resource Team.
  • Submit and manage all facility related requests via the FD&O portal for the school. Log and track these work orders in the LCoB FD&O Submitted Requests googlesheet.
  • Responsible for opening and closing school office during regular office hours. Act as a front-line receptionist, answer phones, respond to inquiries about department programs, policies and procedures, run errands, distribute mail and make photocopies.
  • Monitor & forecast all LCoB SJSU Online Program revenue, budget, and expenditures using current campus tools. Report balances to DRO regularly. Contribute to PACE Business Plan reporting at LCoB Resource Team direction.
  • Analyze monthly payroll expenditures utilizing SJSU Labor Distribution reports, process appropriate revisions, and process faculty funding splits via employee profile to University Finance Connect, in collaboration with LCoB Resource Team.
  • Responsible for following the SJSU travel guide and using Financial Transaction Services (FTS) to enter requests for authorization for travel & travel reimbursements. Assist faculty in making travel arrangements, assign account numbers, track sources of funds, and monitor travel expenditures.
  • Identify and troubleshoot purchasing, accounts payable and budget issues.
  • Prepare and process all hiring documentation for SJSU Online Program and SGI&L faculty (via Common Human Resource Services (CHRS)), applying University Personnel-Faculty Services (UP-FS) appointment guidelines. Includes collection of all appointment documents collected outside of CHRS.
  • Supervise the Annual Evaluation process for all temporary faculty, potentially including scheduling and recording the Chair’s assigned faculty peer evaluations. Use eFaculy to create cases for each temporary faculty. Review each faculty case submission.
  • Lead faculty recruitment process for both Tenure-Track and Temporary faculty ensuring that University Personnel/Faculty Services recruitment guidelines are met. Also, includes arranging all travel itineraries/schedules for all faculty and on-campus interviewees. If applicable, support is given by SGI&L ASC.

  • Working knowledge of financial software to extract information and understand interactions between various funds and accounts.
  • Ability to monitor computerized accounting records and to research and correct computer data errors.
  • Ability to compile, write, and present reports related to school’s budgets.
  • Proficient in SJSU applications: (e.g. Financial Transaction Services (FTS), Common Finance System (CFS), SJSU@Work, MySJSU, eFaculty or current software applications).
  • Proficient in PC compatible software programs such Zoom, MS Office, OnBase and DocuSign.
  • Proficient in SJSU applications: MySJSU or current software application.
  • Ability to perform accurately in a detail-oriented environment.
  • Ability to handle multiple work priorities, organize and plan work and projects.
  • Ability to maintain confidentiality and appropriately handle sensitive communications with employees and external agencies.
  • Ability to communicate with constituents in a professional and respectful manner.

 

Required Qualifications

  • A bachelor's degree and/or equivalent training.
  • Administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs.

 

Preferred Qualifications

  • Demonstrated proficient in PC compatible software programs such Zoom, MS Office, OnBase and DocuSign.
  • Demonstrated experience in a customer service role.
  • Experience working with PeopleSoft, course scheduling, faculty appointments, and other Faculty Services/University Personnel procedures.
  • Demonstrated strong customer service orientation, and ability to work well with faculty, staff, students, and external constituents.
  • Demonstrated experience in preparing and reconciling budgets and/or financial documents.

 

Compensation

Classification: Administrative Analyst/Specialist – Non-Exempt
Anticipated Hiring Range: $4,955/month - $5,954/month
CSU Salary Range: $3,879/month - $7,488/month
