
Job Summary
The Assistant Director for Marketing and Communications leads marketing and communications for University Housing Services. This includes the marketing of all residential facilities to current residents, prospective students and families. The Assistant Director works independently to coordinate department marketing initiatives, publications, communications, public relations, and recruitment and outreach efforts. The position also manages the design and updates to the department website as well as housing marketing, advertising and updates on social media outlets. The Assistant Director supervises the Community Relations Specialist, student assistants and tour guides. Additional responsibilities include of the Housing Welcome Center, coordination of recruitment related and department events, production of department marketing collaterals, and new employee onboarding and orientation. This position reports to the Senior Director for University Housing Services.
The position requires political acumen as it interfaces with the media, parents, and other key stakeholders. This position also involves complex collaboration with a variety of entities including, but not limited to Student Affairs, Enrollment Services, Strategic Communications and Media Relations, Academic Affairs, New Student and Family Programs, Student Involvement, and campus auxiliaries.
Key Responsibilities
- Creates, develops and implements department marketing and communications plans.
- Collaborates with New Student and Family Programs to offer additional student and parent support during Transfer Orientation through online resource fairs in addition to in-person Orientation support.
- Creates and manages informational videos for the Housing Department, including Housing Safety video, Housing Tour video, and New Housing Community video and General Information video.
- Creates and Manages 3-D Tours for all occupancy room types. Including editing and creating room descriptions for all 3-D Tours.
- Conducts research, analyzes data and provides recommendations to managers for future marketing efforts.
- Manages distribution of UHS marketing materials to campus departments.
- Designs and produces marketing collaterals and resources including conference booths, table kits (backdrops, tablecloth banners, stand up and hanging banners) for ongoing branding use.
- Provides updates regarding campus housing and communicates regularly with campus media including Spartan Daily, Update News, and Strategic Communications.
- Provides housing relations information to and communicates with outside media including San José Mercury News and Metro News.
- Disseminates housing updates and information to all residents as needed. Edits and sends out email and text message through residential management database system, StarRez.
- Plans, administers and implements department marketing efforts and logistics for recruitment and outreach processes including Admitted Student Receptions and the Returning Resident Process.
- Manages logistics and planning for the department’s participation in campus orientation related events including orientation resource fair, Family and Transfer panels, and Welcome Week Resource Fair and National Student Exchange orientation.
- Serves as the University Housing Services representative on the Enrollment Services “Next Steps” Enrollment Committee. Attends weekly meeting and provides housing updates.
- Manages all aspects of the department tour process for general public and other campus departments, including development and maintenance of online guided 3-D tours for prospective and current students and families.
- Hires, trains, and supervises Community Relations Specialist and student assistants including tour guides and social media interns.
- Directs work assignments and evaluation of all direct reports and student assistants including projects during the academic year break periods (winter and summer breaks).
- Responsible for monitoring staff daily attendance using established administrative processes and submitting monthly staff attendance reports.
- Develops and leads a staff teams and provides opportunities for professional development.
- Manages the design, layout and updates to the University Housing Services website.
- Maintains website to ensure information is current, user-friendly and compliant with campus policies.
- Creates, develops, and implements social media strategies.
- Builds and maintains best practices for maximizing social media engagement including but not limited to Facebook, Instagram and TikTok, and increasing traffic and department visibility.
- Manages, updates and produces annual Community Living Handbook. Coordinates annual review with Housing staff.
- Creates, and produces the annual Return Resident Process teaser and brochure.
- Updates department-wide brochures, pamphlets and marketing pieces.
- Plans and coordinates the annual department summer barbecue for all housing professional and student staff.
- Develops and administers Marketing support budget, approximately $500,000 including submitting budget requests, maintaining records and identifying mid-year adjustments.
- Manages the process for ordering and distribution and of department shirts and products for marketing SJSU housing and giveaways.
- Recommends initiatives and changes to improve quality and services.
- Identifies and determines cause of problems; develops and presents recommendations for improvement of established processes and practices.
Knowledge, Skills & Abilities
- Comprehensive knowledge of procedures and practices; English grammar, business writing, punctuation and spelling.
- Working knowledge and understanding of Federal and State Financial Aid processes that affect Housing residents.
- Ability to analyze data and make accurate projections using business mathematics and basic statistical techniques.

- Ability to act as primary information source for staff members in functional unit.

Required Qualifications
- Bachelor’s Degree in Marketing, Communications, Education, Business Administration or a related field.
- Three years full time professional marketing experience.
- Three years full time professional experience serving in a public relations, media relations or communications role.
- Event coordination experience.
- Experience supervising staff.
- Experience in website design or editing.
Preferred Qualifications
- Master’s Degree in Marketing, Communications, Business Administration, Education or a related field.
- Five years full time professional marketing experience.
- Five years full time professional experience serving in a public relations, media relations or communications role.
- Experience in end-to-end execution of large scale events (100 to 3000 attendees) including logistics, vendor management and staffing coordination.
- Experience developing and implementing marketing campaigns utilizing social media.
- Experience working in an educational setting.
Compensation
Classification: Administrator I
Anticipated Hiring Range: $6,694/month
CSU Salary Range: $4,135/month - $12,288/month
The final hiring salary will be commensurate with experience.
