The Assistant Athletics Director for Football Operations (AADFO) reports directly to the Executive Senior Associate Athletics Director for Football Administration/SWA and works closely with, and takes direction from, the Head Football Coach. The AADFO assists in coordinating and administering various aspects of an NCAA Division I football program, including, but not limited to, managing day-to-day football operations; assisting with the recruitment of student-athletes; providing oversight of video operations; and ensuring appropriate annual budget planning, monitoring, and oversight.
The AADFO is responsible for developing and maintaining positive, effective working relationships with faculty, staff, students, media, donors, alumni, and University department personnel. The position requires a high level of professionalism, collaboration, discretion, organization, and communication, as well as the ability to successfully interact with a diverse range of internal and external constituents.
The AADFO must maintain a thorough knowledge of and ensure compliance with all applicable San José State University, NCAA, and Mountain West Conference rules, policies, and regulations.
Key Responsibilities
- Manage resources within budgeted allocations, according to university and department procedures. Comply with all Mountain West Conference and department policies that relate to travel and budget.
- Support the Head Coach and Assistant Coaches in the day-to-day administration and operation of the football program.
- Serve as the football program’s primary professional liaison with NFL and other professional scouting organizations.
- Oversee recruiting infrastructure, including prospect databases, visit coordination processes, and transfer portal monitoring systems.
- Provide administrative oversight of the football program’s annual operating calendar, major scheduling initiatives, travel planning, and facility usage coordination.
- Lead and oversee program initiatives, including camps and clinics, facility planning and enhancements, organizational development, and technology integration.
- Provide administrative oversight of football-specific technology platforms, including Teamworks, ARMS, XOS, PFF, and Catapult, and ensure their effective utilization and alignment with program objectives.
- Serve as the primary football liaison to auxiliary units, including Nutrition, Strength & Conditioning, and Sports Medicine, to support the comprehensive needs of the football program and student-athletes.
- Serve as the primary administrative contact for agents, NIL collectives, and external partners regarding revenue-sharing agreements and NIL opportunities, in coordination with appropriate University personnel and policies.
- Serve as the primary football program coordinator with Compliance, Academics, Admissions, and Student-Athlete Services to support student-athlete eligibility, retention, academic progress, and overall success.
- Collaborate regularly with the Football Academic Coordinator to monitor and address the academic status and progress of incoming and current football student-athletes.
- Attend campus wide and athletic department meetings as assigned by the Head Football Coach.
- Perform other duties as assigned by the Head Football Coach and Executive Senior Associate AD for Football Administration/SWA.
- Direct, lead, and supervise full-time employees (FTEs) assigned to the position, as well as hourly, volunteer, and graduate assistant staff.
Knowledge, Skills & Abilities
- Knowledge of collegiate and high school football programs, including recruiting, operations, and student-athlete development.
- Knowledge and understanding of the collegiate model of intercollegiate athletics.
- Knowledge of and proficiency in University, NCAA, and Mountain West Conference rules, regulations, policies, and procedures.
- Excellent oral, written, interpersonal, organizational, and leadership skills.
- Ability to communicate effectively and professionally with student-athletes, coaches, administrators, alumni, community members, and external stakeholders.
- Ability to speak publicly and represent the football program and University in a professional manner.
- Ability to participate in fundraising, revenue development, budget development, and resource management activities.
- Ability to establish and maintain effective working relationships with students, alumni, administration, campus partners, community groups, and external organizations.
- Working knowledge of, or ability to develop proficiency in, the appropriate and ethical use of emerging technologies, including artificial intelligence (AI), in higher education and athletic administration.
- Ability to support continuous improvement and organizational learning through the responsible use of technology.
- Ability to hire, train, supervise, evaluate, and provide direction to employees and other assigned staff.
- Ability to exercise sound judgment, discretion, and professionalism in a fast-paced and highly confidential environment.
- Ability to travel frequently throughout the year and work evenings, weekends, and extended or irregular hours as required by the football program.
- Ability to work effectively in both indoor and outdoor environments and sit or stand for extended periods.

- Two years’ experience in an NCAA Football program in Operations or Recruiting
License
A valid driver's license is required for this position. Out of state candidates selected for the position must obtain a State of California driver's license within 10 days of hire in accordance with the California Department of Motor Vehicles regulations.
Once hired the employee must successfully complete the Defensive Driver Training Program provided by the State of California for California State University campuses.

Classification: Administrator II
Anticipated Hiring Range: $7,934/month
CSU Salary Range: $5,053/month - $16,221/month
The final hiring salary will be commensurate with experience.
