Job Summary

The Department of Teacher Education at San José State University's in the Lurie College of Education supports future and current students on their journey to becoming teachers. With an emphasis on preparing teachers for our local community, our office fosters an educational setting that values diversity and accessibility grounded in emancipatory educational practices.

Reporting to the Director of Resources & Operations with work lead direction from the Department Chair, the Admissions and Records Analyst provides strategic direction, operational oversight, and guidance for the recruitment and admissions initiatives within the Teacher Education Department. This role ensures alignment with the College’s mission, vision, strategic plan, and the Departments’ Program Learning Outcomes. The position involves analysis, development, and integration of admissions policies and practices, fostering continual improvement cycles. The Analyst is a key advisor to the department chair, the Director of Teaching Pathways and Field Experience, Credential Program Advisor, department coordinators, and faculty, ensuring that admissions processes are efficient, compliant, and supportive of the College's goals.

 

Key Responsibilities

  • Manage admissions processes for the Teacher Education programs.
  • Coordinate the entire application and admissions process with the Teaching Pathways and Field Experience Office, Teacher Education, Secondary Credential program academic departments, Graduate Admissions, and other relevant campus entities.
  • Oversee and manage the admissions timeline, ensuring timely and effective communication with applicants and other stakeholders.
  • Manage admissions materials, including program applications, and checklists, ensuring accuracy and compliance in collaboration with department leadership.
  • Address deferral requests for special situations, internal program transfers and international student inquiries.
  • Manage admissions database to ensure all applicant information is current and organized for easy retrieval.
  • Maintain, refine and Input data for department’s student database.
  • Track and update student credential requirements throughout their time in the program, through graduation.
  • Extract data to present reports on student outcomes and their progress towards a credential/degree.
  • Manage department databases and make revisions as needed to meet reporting requirements.
  • Stay informed of changes in admission processes, updating materials and workflows as needed in consultation with leadership.
  • Ensure alignment of admissions efforts with the College’s mission, vision, and strategic plan.
  • Provide mentorship and oversight to staff involved in the admissions process, fostering a collaborative and efficient team environment.
  • Offer general office support through email, phone, or in-person. Welcome and assist faculty, staff, students, and visitors as they engage with the Teaching Pathways and Field Experience Office.
  • Maintain responsive communication channels and ensure timely replies to all applicant queries, whether via email, phone, or other platforms. 
  • Notify candidates of acceptance, track admissions, and follow-through with student’s application status via Graduate Studies.
  • Manage program completers each semester, in addition to inform students of process for completing program and/or applying for credential with credentialing office.
  • Lead the analysis, development, and continuous improvement of admissions policies and practices in collaboration with leadership.
  • Regularly collect, analyze, and report on admissions data to evaluate effectiveness and inform data-driven improvements.
  • Advise department leadership on trends, applicant feedback, and strategic changes to address evolving admissions demands and support student success.
  • Acts as backup front-line receptionist, answers phones, greets faculty, staff, students, and visitors.
  • Provide customer service and serve as a resource for faculty, staff, students, donors, and the public on university, CCTC, graduate policies and procedures.
  • Assist in coordinating department events and receptions; i.e., graduation, MA Colloquium, etc.
  • Process office expenses with pcard and/or go cards and manage reconciliations.
  • Provide work direction to student workers and responsible for training of student workers.
  • Process and track intern MOUs in FTS for intern coordinator.
  • Create and maintain departmental forms, brochures, informational materials, and flyers.
  • Maintain departmental website.
  • Stay updated on any changes in program requirements, admission protocols, and best practices through internal communications, training sessions, and professional development.

 

Knowledge, Skills & Abilities

  • Strong interpersonal and communication skills, both verbal and written.
  • Patience and the ability to work effectively with diverse groups of prospective applicants.
  • Proficiency in using virtual meeting platforms (e.g., Zoom) and digital communication tools.
  • Detail-oriented with excellent organizational skills.
  • Ability to adapt to changing processes and requirements.
  • Commitment to maintaining confidentiality and handling sensitive information appropriately.
  • Proficient in using Google apps (docs, sheets, slides, etc).
  • Ability to plan and handle multiple work priorities, trouble shoot, and organize work projects.
  • Ability to quickly learn and apply a variety of state, federal, CSU, and SJSU policies and procedures.
  • Must possess excellent customer service and public relations skills.
  • Ability to understand problems from a broader perspective and anticipate the impact of office administration problems and solutions on other areas.
  • Interest in being part of a collaborative team.
  • Prior experience in admissions, advising, or educational support is a plus.
  • General awareness of emerging technologies, including artificial intelligence (AI), and a willingness to develop skills in their appropriate, responsible, and ethical use in a higher education environment, consistent with institutional policies and practices.
  • Ability to communicate with constituents in a professional and respectful manner.

 

Required Qualifications

  • A bachelor's degree and/or equivalent training.
  • Administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs.

 

Preferred Qualifications

  • Experience with FileMaker Pro - database management application.
  • Experience in providing exceptional customer service.
  • Administrative experience working in an office with complex tasks in a diverse setting.
  • Technical experience including Microsoft Office (Word, Excel), PeopleSoft, CMS/FST, CFS, Data Warehouse, email programs, Adobe and Google Docs.
  • Experience with project management and creating and maintaining Standard Operating Procedures (SOPs).

 

Compensation

Classification: Administrative Analyst/Specialist – Non-Exempt
Anticipated Hiring Range: $5,736/month - $6,087/month (Step 10 – Step 13)
CSU Salary Range: $4,799/month - $6,992/month (Step 1 – Step 20)
